Team Schedule Management


Whether you're cancelling a practice, scheduling or moving a practice, rescheduling a game, or responding to a league or weather cancellation, this page explains:

  • what you need to do;
  • when to submit a Team Schedule Change Request; and
  • how Kincardine Minor Soccer (KMS) coordinates the operational impacts of schedule changes.


📌 Remember

A Team Schedule Change Request is not asking KMS for permission to change your team's schedule. Its purpose is to notify KMS whenever your team's schedule changes so the PowerUp schedule remains accurate for coaches, families, volunteers and club operations. If your league has its own scheduling procedures, those requirements must still be followed before submitting your request.

Helpful Tip
Identifying an available field through Today's Events or the Facility Availability Report does not reserve that field. Field assignments are confirmed by the Scheduler after reviewing your request.

Cancel a Practice

If you are only cancelling a practice, simply submit your request.

You do not need to find another field or coordinate another practice time.

This includes cancellations due to:

  • weather;
  • low player attendance;
  • coach availability;
  • field conditions; or
  • any other reason where you want the PowerUp schedule to accurately reflect your team's activities.

The Scheduler will:

  • mark the practice as Cancelled in PowerUp;
  • notify registered families through PowerUp; and
  • keep the PowerUp schedule accurate.

Schedule or Move a Practice

Before submitting your request, coaches and team managers are encouraged to identify one or more possible field options.

Helpful tips:

  • Review Today's Events to see what is already scheduled on your preferred day.
  • Use the Facility Availability Report to search for available field time based on the practice date and duration you need.
  • If another KMS team is using the field you'd like to use, use the Contacts page to contact the coach and discuss possible alternatives.

Games generally take priority over practices.

Coaches are encouraged to work together to find solutions whenever possible. Identifying one or more possible options before submitting your request often allows schedule changes to be coordinated more quickly.

Once you've identified one or more possible options, include:

  • proposed date;
  • proposed time;
  • proposed field; and
  • any agreements already reached with another coach.

How Team Schedules Are Managed

House League

KMS creates and maintains the official House League schedule.

Games, practices and cancellations are managed directly by KMS.

Lake Shore League

Lake Shore League manages the official league game schedule.

Before the season begins, KMS enters league schedules into PowerUp so coaches and families can view all team activities in one place.

If the league later changes a game, KMS must be notified so the PowerUp schedule can be updated.

Southwest District Soccer League (SDSL)

Southwest District Soccer League manages the official league game schedule.

KMS enters league schedules into PowerUp before the season begins.

If SDSL later changes a game, KMS must be notified so the PowerUp schedule can be updated.

Reschedule a League Game

League games may occasionally need to be rescheduled because of:

  • school trips or educational events;
  • tournaments or other soccer commitments;
  • insufficient player availability;
  • field availability;
  • weather or field conditions; or
  • other circumstances approved by your league.

Once the new game details have been confirmed, follow the appropriate process below.

Home Game

If KMS is hosting the game:

  1. Follow your league's scheduling procedures.
  2. Coordinate with the opposing coach or team manager.
  3. Obtain any required league approvals.
  4. Contact the Referee Coordinator if referee assignments may be affected.
  5. Submit your request.

KMS will coordinate any operational impacts, including field assignments, referee coordination (where applicable), and updating the PowerUp schedule.

Away Game

If your team is playing away:

  1. Follow your league's scheduling procedures.
  2. Coordinate with the opposing coach or team manager (when required).
  3. Obtain any required league approvals.
  4. Submit your request.

No field or referee coordination is normally required for away games. However, KMS still needs to update the PowerUp schedule so coaches, families and club volunteers have the correct game information.

Even when both coaches have already agreed to a new date and time, KMS still needs to be notified so the PowerUp schedule remains accurate.

Organization-Initiated Schedule Changes

Sometimes your team's schedule changes because another organization makes the decision.

Examples include:

  • Municipality field closures
  • League schedule changes
  • District-wide cancellations
  • Weather decisions
  • Air Quality Advisories

Follow the direction provided by the organization responsible for the decision.

Once official information is received, KMS will update the PowerUp schedule as quickly as practical.

What Happens Next?

Once your request is received, the Scheduler will:

  • review the request;
  • coordinate any operational impacts;
  • confirm the proposed field assignment can be accommodated (where applicable);
  • coordinate with other KMS teams when required;
  • consider municipal field allocations and other approved users of Kincardine soccer facilities;
  • update the PowerUp schedule;
  • notify registered families (where applicable); and
  • communicate with other KMS volunteers as required.

Why Keeping PowerUp Updated Matters

PowerUp serves as KMS's operational schedule. Keeping the PowerUp schedule accurate helps KMS:

  • coordinate field usage across all KMS teams;
  • identify opportunities for additional practices;
  • avoid scheduling conflicts;
  • communicate accurate schedules to coaches and families;
  • support referee scheduling;
  • coordinate with the Municipality of Kincardine when required; and
  • coordinate with other approved users of Kincardine soccer facilities, including the Kincardine Adult Soccer Association (KASA) and adult soccer programs.

Although coaches are encouraged to identify possible field options, proposed field assignments must still be reviewed before they are confirmed. A field that appears available may already be committed through municipal allocations, another approved user, maintenance activities or other operational requirements.

Changes Within 48 Hours

If a home game changes within 48 hours of kick-off:

  • contact the Referee Coordinator as soon as possible; and
  • submit your request.

This helps minimize referee assignment conflicts and unnecessary travel.
