Key points:
- Scheduled game is cancelled
- Home team facilitates the rescheduling of that game to another day & time.
- If another team cancels their home game with you or cancels coming to Kindardine
- The club will not know about it. Inform the club scheduler so that the schedule can be updated in the system to reflect in the App that families use to view schedules of the teams.
- Sometimes Leagues can cancel all soccer across the league (usually due to extreme weather or air quality) on a specific night or the Municipality of Kincardine can close the fields due to excess rain. If this happens, reschedule the game if it applicable to your team.
- Weather conditions can vary across the club locations in each league
- Some clubs may cancel their games, while other clubs may not
- Try not postpone games to the end of the season or you may not have available time to play.
Team specific
- Recreational teams
- Kincardine House League (U4-U10) games are not eligible to be rescheduled if cancelled
- Lake Shore League (U12-Adult) follow their cancellation and rescheduling rules and process
- Competitive teams
- EMDSL and SDSL games follow their cancellation and rescheduling rules and processes
Involves multiple parties and timing to inform and engage:
- Home coach
- Notifies and works with visiting team coach
- Responsible for informing their teams and working out a new time/date to play the game
- Works with the club and other coaches to identify a new game slot for the reschedule
- League division convenors
- Leagues want to know when games are not happening as planned. Once the new date, field and referee are confirmed, contact the Division Convener for approval.
- Clubs can be fined for invalid cancellations and not rescheduling within proper timeline or not at all
- Kincardine Referees for Home games
- Referees are pre-scheduled and will show up at the field unless notified
- Club contacts: referee coordinator, scheduler
- Update the game status in the system (Home & Away games)
- Inform scheduled referee of a cancellation that impacts them
- Determine referee availability for a rescheduled game
- Players & parents/guardians
- Need to know/understand if the game has changed
- Kincardine Field Availability
- Kincardine has a limited number of fields that are used for scheduled games and practices. Open field slots or using someone else's practice time needs to be worked through.
- Other Kincardine coaches
- if one of their practice times is going to be used, they would need to be aware and communicate to their team
Notifications within 48 hours of schedule game:
Any change to scheduled games needs at least a 48 hour notice for all parties involved (scheduler, referees, coaches). If a schedule change is a game that changes the date, time, or field and is less than 48 hours from the original schedule, the coach or team manager must call the KMS Head Referee and/or Referee Coordinator to alert them of the change.
Season Schedule Review
The coaches should review their schedules, at the beginning of the season, with their teams to determine if any known conflicts will arise throughout the season. Coaches from Kincardine and other clubs should work together to ensure all games can be played or rescheduled on a mutually agreed upon date.
Lake Shore League games
Lake Shore League Coaches Manual 7.4.
Games may be rescheduled upon mutual agreement of the home and away coaches due to conflicts with school events, other sporting events or low attendance numbers. All reschedule requests MUST be made at least 7 days in advance (unless the game is cancelled the day of the game) and MUST be approved by the Division Convener.
- Contact the opposing coach to discuss and determine if the the agreed outcome is to cancel the game. (look at the "Coaches" version of the season schedule document provided at the beginning of the season by your Division Convenor).
- Contact/email the referee coordinator ASAP (so they can remove from the referee schedule for that day)
- Contact/email your Lake Shore League Division convener (look at the Lake Shore Coaches manual by Lake Shore League for the convener contact information if you don't already have it)
- Contact/email your team that the game is cancel
- Contact/email the Club (so that we know and can mark the game canceled in Sportsheadz and so parents/guardians can see it as cancelled on the website if they look there)
- Begin the rescheduling process below.
Rescheduling Process
- Reschedule requests for non-cancelled games made with less than 7 days notice will be reviewed on a case by case basis. Otherwise, reschedule requests initiated due to league or weather related reason should proceed as soon as possible after the cancellation.
- Before contacting the Division Convener with the reschedule request the requesting team must contact the other coach to agree on the reschedule. If the other coach does not agree, the requesting coach must field a team or forfeit the game. If this is an extenuating circumstance (ie. you've given the other coach lots of notice and they are unwilling to work with you) contact the Division Convener. If the other coach agrees to the reschedule then the home team must:
- Review the Kincardine Field Availability to propose a new game date(s) to the other coach. A date must be agreed upon.
- Email the Kincardine Head Referee (for Kincardine home games) to confirm referees are available.
- Submit the new field booking and game change request once finalized to the club
