Club Neutrality, Privacy Disputes, and Information Access Policy

Purpose

  • Kincardine Minor Soccer exists to provide a safe, positive, and enjoyable soccer experience for participants in our community. The Club’s focus is the organization and delivery of soccer programs, activities, and related operations.

Club Neutrality

  • As a volunteer-driven sports organization, Kincardine Minor Soccer is not equipped or authorized to investigate, interpret, enforce, mediate, or adjudicate private disputes involving participants, parents, guardians, family members, volunteers, coaches, team officials, sponsors, or other third parties.
  • This includes, but is not limited to, family, custody, parenting, guardianship, neighbour, financial, contractual, employment, property, or other personal disputes.
  • The Club cannot act on requests that would require staff, volunteers, coaches, team officials, or directors to determine the legal rights, responsibilities, relationships, or access of individuals outside the administration of soccer programs and Club operations.
  • Club staff, volunteers, coaches, team officials, and directors will apply Club policies consistently and limit their involvement to matters directly related to soccer participation, participant safety, and Club operations.
  • Individuals involved in private disputes are responsible for resolving those matters through appropriate legal, professional, or personal channels.

Information Access

  • Information that is publicly available through the Kincardine Minor Soccer website may be accessed by anyone.
  • Certain player, team, schedule, roster, and communication information is available through PowerUp’s Member Zone and the PowerUp Connect mobile app, which are used as part of Kincardine Minor Soccer’s and Ontario Soccer’s registration and team management system.
  • The parent or guardian who completes a player’s registration for a given season is responsible for the management of that player’s account information and any sharing of non-public information available through PowerUp’s Member Zone and the PowerUp Connect mobile app.
  • Where the system permits, the registering parent or guardian may grant co-guardian or additional family access directly through their account settings. To use this functionality, each individual must setup and maintain their own online account within PowerUp.
  • Kincardine Minor Soccer will not create, modify, transfer, or grant Member Zone or PowerUp Connect access on behalf of a registering parent or guardian, nor will the Club determine who should receive access to non-public player or team information. The Club cannot establish, verify, or manage co-guardian relationships within the system on behalf of participants or their families.
  • Requests for access to information beyond what is publicly available must be addressed through the registering parent or guardian and the access controls provided within the system.

This policy applies only to information and access managed through Kincardine Minor Soccer’s official registration and team management systems. The Club does not control, manage, or administer communications conducted through third-party platforms or private communication channels established by participants, parents, guardians, coaches, team officials, or volunteers.
